Much more than putting up a stand
When a company tells us “I need someone to put up the stand”, they are usually thinking about build-up day. We also think about everything before and everything after: transport to the venue, coordination with the hall team, the regulations of each fair, maintenance during the event and dismantling on the last day.
We have been doing this since 2007. By now there are few surprises at a fair that we have not seen and solved before, and that experience shows from the first day of build-up until the hall closes.
What our assembly service includes
Transport to the venue
We coordinate the logistics from our workshop in Madrid to the hall. Our own lorries or hired ones, depending on the size of the project. The arrival time is agreed with the fair’s manager, never improvised.
Assembly on schedule
The assembly team travels with the stand. They are the same people who saw the project in the workshop; they know the parts, the finishes and where care is needed. We build to the schedule set by each fair.
Maintenance during the event
For as long as the fair runs, we keep someone available for any incident: a part that works loose, a light bulb, a last-minute technical adjustment. You are never left alone with the stand.
Dismantling and storage
When the fair ends we dismantle on schedule. Reusable parts come back to Madrid and are stored in our workshop until your next edition. No extra storage costs.
Why it matters who builds your stand
When a supplier designs and builds a stand but subcontracts the assembly to a local team in the fair’s city, something curious happens: the team putting it up does not know the project. They have the drawings, yes. But they have not spoken to the client, they have not seen the render evolve, they do not know which materials are critical.
The result? Small decisions taken poorly on the fly because nobody there knows the spirit of the project. A careless finish here, an electrical connection solved their own way there. The stand does go up in the end, but it is not exactly the one that was designed.
At NeoDesign the fitters are always the same people. They know the projects from the factory floor. They know which parts are delicate, what needs care and where the finishing has to be right. Your stand turns out the way it was designed.
How we work
Logistics planning
Once the project is approved, we plan transport, assembly and dismantling around the fair’s schedule. We book loading and unloading slots at the venue, arrange access and let you know in good time if we need anything from you.
Arrival and unloading
The team travels to the fair with the stand. We arrive with time to spare so the schedule is never at risk. Coordination with the hall manager starts at the loading door.
Assembly and finishing
We build in the planned technical order. Once it is up, we go over the details: final adjustments, cleaning, lighting, connections. When you walk into your stand, it is finished.
Maintenance, dismantling and return
During the fair we keep someone available for any incident. When it ends, we dismantle on schedule and take the reusable parts back to Madrid.
Our own stand fitters, based in Madrid
When we talk about stand assembly, we mean our own team. Our fitters set off from our workshop in Humanes de Madrid and travel with your stand to the fair, whether that is IFEMA, Fira, BEC, FIBES, Feria Valencia or Feria de Zaragoza.
We do not subcontract local teams who see the project for the first time on unloading day. Whoever builds it is whoever assembles it: that is why stand assembly for trade fairs runs without surprises and with a single point of contact from start to finish.
